Capture
The PCRecruiter Capture tool (available in the Chrome Web Store) gives users the ability to bring Candidate profiles into their database. Capture provides users the ability to capture profiles from various social sites. If the site is not one of the sites Capture has been verified to work with, you will still have highlight and parse functionality which we will discuss below. Tested sites include:
- Indeed
- Seamless.ai
- Dice
- CareerBuilder
- ZoomInfo
- Monster
- CV / Resume Library
- Elempleo
- JobStreet
Match
The tool also gives you the ability to look at a list of names on any site and quickly see if a name is in your PCRecruiter database. These names are designated by a PCRecruiter icon following them, which allows quick access to the name record and some action icons. This PCR Match feature is automatically enabled for the above listed sites, with the ability to utilize it on other sites as well; which we will discuss below.
Log in to Capture
PCR Capture is a free extension available in the Chrome Store, you can find the download here.
From your Chrome browser, select the Capture icon in your Chrome Toolbar. Here you will be presented with fields to enter your PCR url (ex. https://www2.pcrecruiter.net/pcr.asp?uid=odbc.yourcompany), username, password, and appropriate database. You will then click login to begin using Capture and PCRMatch.
Using and Activating Auto Match
Activating Auto Match
This functionality allows you to easily see if a person exists in your database. If so, you can quickly jump to their record as well as perform various actions
- Click the PCR Capture icon in your Chrome toolbar
- Toggle the PCR Match option on
Once this setting is turned ON, you will notice a secondary toggle appear. This toggle controls if PCR Match is in use on the site you are currently viewing. Most sites are automatically excluded, however; if you are on an allowed (whitelisted) site the PCR Match tool is automatically triggered. You can always toggle this settings as you see fit to allow your current web page, however; if you would like to permanently add a site to the allowed site list (Previously listed), you may do so via the following:
- Click the Capture icon from your Chrome Toolbar
- Select Options
- Choose the PCR Match tab
- Enter a site you would like to Whitelist
- Select Add
Using Auto Match
When PCR Match is enabled you will instantly see a PCRecruiter icon appear to the right of a name record if that name has been detected in your database.
- Locate a Name with the PCR icon to the right
- Click the PCR icon
- If multiple matches are found you can scroll through them in the upper right corner of the information popup
- Click any of the Quick Action icons
- Email: Opens a Compose Mail Screen to send an email to the person
- Call: Opens the Add Activity Screen where you can select the number you wish to dial (Note: You must have a phone system setup within PCR)
- Text: Opens the Add Activity Screen where you can select the number you wish to dial (Note: This feature is only available when using RingCentral)
- Rollup: Allows you to add the Name to any existing Rollup in your database.
- Jobs: Shows the interview status of the jobs this person is linked to in your database
Capture Settings
Once you have the Capture tool you will need to choose your method of capturing records. To do so, click the extension in your Chrome browser and choose Options. This will bring up a window in which you can choose Basic or Advanced capturing
Basic
Basic Capture is a simplified capture tool, similar to our original release, with a few new options.
- Control where the name record is parsed to by utilizing the Set Company To dropdown:
- Default: Places records into your default company; typically titled Candidates, Talent pool, Resumes, etc.
- Parsed Company: Looks for the Current Company on the profile and places the candidate under that Company, if that company does not exist it will create it automatically.
- Specific Company: Allows you to select a specific existing company from your database you would like to add the new candidates to.
- Use the Rollup field to select a rollup list you would like the candidates to be added to automatically.
Advanced (Required for Auto Match)
The Advanced Capture tool provides users with duplicate checking and data entry capabilities when adding records to the database.
- Control where the name record is parsed to by utilizing the Set Company To dropdown:
- Default: Places records into your default company; typically titled Candidates, Talent pool, Resumes, etc.
- Parsed Company: Looks for the Current Company on the profile and places the candidate under that Company, if there is a similar company in the database you will be prompted to add the name to that company or create an entirely new company.
- Specific Company: Allows you to select a specific existing company from your database you would like to add the new candidates to.
- Use the Rollup field to select a rollup list you would like the candidates to be added to automatically.
Capturing Profiles
To capture a profile from any of our supported sites (Listed above)you will begin by accessing the profile. Please note that you will not be able to Capture until you are on an actual profile, not a listing of multiple profiles.
Basic Capture
- Access the profile you wish to capture
- The PCR Capture icon will appear along the right side of your browser. If there is a possible duplicate detected a red circle will appear with the number of possible duplicates detected. Please keep in mind this is a quick duplicate check and you may receive different results when you are capturing. Click anywhere in the icon to capture.
- When the candidate has been successfully added to your database you will receive a notification in the bottom right portion of your screen. Selecting this notification will automatically jump you to the new record.
- If multiple duplicate record are detected you will be prompted to choose which record you would like to update.
Advanced Capture
- Access the profile you wish to capture
- The PCR Capture icon will appear along the right side of your browser. If there is a possible duplicate detected a red circle will appear with the number of possible duplicates detected. Please keep in mind this is a quick duplicate check and you may receive different results when you are capturing. Click anywhere in the icon to capture.
- The Advanced Capture menu will now appear with several options:
- Possible Matching Records: This will display records that are a possible match to the person your are attempting to capture (duplicate criteria discussed below)
- You will also have the ability to choose to “Add As New Record.”
- Once you have chosen either a new or existing record choose next for further options:
- Currently Assigned Company: This means you have chosen to update an existing record and you have the option to keep the name within their current company
- Captured Company: This is the company listed as their current employer on their profile
- Matching Company List: Choose to add the record to an existing company
- Select Company from PCR Database: Begin typing to select a company ‘On the Fly’
- Select Next to review your data
- Using the Advanced Capture Menu you can select which information you would like to keep and which you would like to overwrite with the profile information. If information already exists you will have the option to “Change”
- Save when finished
Right Click Capture
Right Click Capture ability gives you the option to highlight text (Ex. An Email Signature) and bring it into PCRecruiter to create a new name record (Or update an existing record).
- Highlight desired text
- Right Click into your browser
- Hover over PCR Capture
- Choose Capture Highlighted Text
- You will then be directed to your desired Capture input function to follow the steps discussed above.
Duplicate Checking
There are three tiers used in duplicate checking when using the PCR Capture tool, they are as follows:
- Social Network Match (Darkest Green): A profile has the same url as the current page, so it’s almost certainly the same person
- Name Match (Lighter Green): The First Name and Last Name match the current page (Or a derivative such as Rob vs. Robert)
- Less than perfect Name Match (Hardly Green): This would include things such as emails, addresses, phone number, etc.
