{"id":6937,"date":"2018-06-16T20:58:05","date_gmt":"2018-06-16T20:58:05","guid":{"rendered":"https:\/\/learning.pcrecruiter.net\/?p=6937"},"modified":"2024-11-22T14:36:53","modified_gmt":"2024-11-22T14:36:53","password":"","slug":"rollup-stages","status":"publish","type":"docs","link":"https:\/\/learning.pcrecruiter.net\/site\/docs\/configuration\/rollup-stages\/","title":{"rendered":"Configuring Rollup Stages"},"content":{"rendered":"\n<p><span style=\"font-weight: 400;\">Rollup Lists allow you to select a symbol as a visual indicator of where the record is in your process. Each type of Rollup (Company, Name or Position) can have its own set of stages; you can alter the label for each symbol as well as the image displayed to reflect your process or terminology. Additionally, each stage can be configured to automatically write an activity, display the New Activity window in which you can add an activity, or execute an automation plan. This configuration is also available for the Rollup Status Icons in the Legacy Pipeline.<\/span><\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><span style=\"font-weight: 400;\">Global Rollup Stages<\/span><\/h2>\n\n\n\n<p><span style=\"font-weight: 400;\">Global Rollup Stages can be configured and used database-wide. This feature eliminates the need for each user to create their own stages or have an admin user copy stages to them<\/span>, and provides consistency throughout the data. An administrative access level user can configure them as follows:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li><span style=\"font-weight: 400;\">Select <strong>System<\/strong> from the main toolbar<\/span><\/li>\n\n\n\n<li><span style=\"font-weight: 400;\">Select <strong>Database Setup<\/strong><\/span><\/li>\n\n\n\n<li><span style=\"font-weight: 400;\">Select <strong>Rollup List Global Stage Setup<\/strong><\/span><\/li>\n\n\n\n<li><span style=\"font-weight: 400;\">Select the <strong>Rollup Stage Function<\/strong> from the dropdown<\/span>. <span style=\"font-weight: 400;\">This will be used to identify the type of rollup list the stages will be used for.<\/span> <span style=\"font-weight: 400;\">By choosing the <strong>\u2018+\u2019<\/strong> icon, you can add additional templates, providing a blank set of stages each time a stage is created<\/span> (e.g. Marketing, Sourcing, Recruiting, etc.)<\/li>\n\n\n\n<li><span style=\"font-weight: 400;\">Once a template option is selected, select the record <strong>type<\/strong> these stages will apply to (Names, Companies or Positions)<\/span><\/li>\n\n\n\n<li><span style=\"font-weight: 400;\">Configure the<strong> rollup stages<\/strong> as described below.<\/span><\/li>\n<\/ol>\n\n\n\n<p><span style=\"font-weight: 400;\">Once all of the stages have been configured, switch the <strong>Enable Global Rollup Stages<\/strong> toggle to \u201c<strong>ON<\/strong>\u201d to enable this feature database wide. It is crucial that the stages are configured prior to enabling this feature or users will not see any configured stages.<\/span><\/p>\n\n\n\n<p>If you would like to require users to utilize the global stages (recommended) check the option to <strong>Require when Creating New Rollups.&nbsp;<\/strong>Moving forward all lists will utilize the global stages &#8211; this will not be retroactive.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><span style=\"font-weight: 400;\">Assign Global Stages to a Rollup<\/span><\/h3>\n\n\n\n<p><span style=\"font-weight: 400;\">When creating a new rollup list, a user will choose if they would like to assign Global Stages to it, unless required.<\/span><\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li><span style=\"font-weight: 400;\">Choose <strong>Rollups<\/strong> from the main toolbar<\/span><\/li>\n\n\n\n<li><span style=\"font-weight: 400;\">Choose <strong>Add Rollup<\/strong> from the action items<\/span><\/li>\n\n\n\n<li><span style=\"font-weight: 400;\">Enter a <strong>Rollup Name<\/strong><\/span><\/li>\n\n\n\n<li><span style=\"font-weight: 400;\">Change <strong>Global Stages<\/strong> to \u201c<strong>Yes<\/strong>\u201d (If required, skip this step as this dropdown will not appear)<\/span><\/li>\n\n\n\n<li><span style=\"font-weight: 400;\">Upon doing so, the stage template dropdown becomes available; select the<strong> template<\/strong> that should be applied to the rollup stages on that particular rollup list.<\/span><\/li>\n\n\n\n<li><span style=\"font-weight: 400;\"><strong>Save<\/strong> your list to begin using your new rollups stages as usual.<\/span><\/li>\n<\/ol>\n\n\n\n<h2 class=\"wp-block-heading\"><span style=\"font-weight: 400;\">Rollup Stage Configuration<\/span><\/h2>\n\n\n\n<ol class=\"wp-block-list\">\n<li><span style=\"font-weight: 400;\">Select<\/span><strong> Rollups<\/strong><span style=\"font-weight: 400;\"> from the main navigation toolbar<\/span><\/li>\n\n\n\n<li><span style=\"font-weight: 400;\">Select any <\/span><strong>Rollup List<\/strong><\/li>\n\n\n\n<li><span style=\"font-weight: 400;\">From the action dropdown, select <\/span><strong>Configure<\/strong><\/li>\n\n\n\n<li><span style=\"font-weight: 400;\">Click <\/span><strong>Stage Setup<\/strong><\/li>\n\n\n\n<li><span style=\"font-weight: 400;\">Select the<\/span><strong> Rollup Type<\/strong><span style=\"font-weight: 400;\"> (Company, Name or Position).<\/span><\/li>\n\n\n\n<li><span style=\"font-weight: 400;\">For each Stage:<\/span>\n<ol class=\"wp-block-list\">\n<li><span style=\"font-weight: 400;\">Click the <\/span><strong>Gear Icon<\/strong><span style=\"font-weight: 400;\"> to choose which image you would like displayed when the corresponding stage is selected (This option is not available for the Clear Status stage).<\/span><\/li>\n\n\n\n<li><span style=\"font-weight: 400;\">Enter a <\/span><strong>Description<\/strong><span style=\"font-weight: 400;\">. The text entered is the label that will appear when selecting the stage (This option is not available for the Clear Status stage)<\/span><\/li>\n\n\n\n<li><span style=\"font-weight: 400;\">Select the <\/span><strong>Default Activity Type<\/strong><span style=\"font-weight: 400;\">. This is the Activity Type that will be written to the record or displayed as a default if you configure the stage to automatically write or pop up a new activity window (Learn how to create Activity Types <a href=\"https:\/\/learning.pcrecruiter.net\/site\/docs\/activities\/activity-types\/\" data-type=\"docs\" data-id=\"11602\">here<\/a>).<\/span><\/li>\n\n\n\n<li><span style=\"font-weight: 400;\">Choose your<\/span><strong> Write Activity<\/strong><span style=\"font-weight: 400;\"> preference (Note: This activity will have appended text listing the Stage the record was changed to and the Rollup List on which the stage was changed):<\/span>\n<ol class=\"wp-block-list\">\n<li><strong>Default Activity:<\/strong><span style=\"font-weight: 400;\"> Automatically writes the activity selected in the Default Activity column<\/span><\/li>\n\n\n\n<li><strong>Popup New Activity: <\/strong><span style=\"font-weight: 400;\">Pops up the Add Activity window allowing you to add notes and schedule follow ups prior to saving (The selected Default Activity will be displayed). <\/span><\/li>\n\n\n\n<li><strong>Automation Plan:<\/strong><span style=\"font-weight: 400;\"> Automatically writes the selected Default Activity as well as runs the selected Automation Plan. If the Automation plan is set to write an activity and a Default Activity is selected, this will result in two activities being written. <\/span><\/li>\n\n\n\n<li><strong>No Activity:<\/strong><span style=\"font-weight: 400;\"> Prevents an activity from being written when the stage is selected<\/span><\/li>\n<\/ol>\n<\/li>\n\n\n\n<li><span style=\"font-weight: 400;\">Select the <\/span><strong>Merge Plan<\/strong><span style=\"font-weight: 400;\"> preference to carry forward items with this symbol when using the Merge Plan feature (The Clear Status stage will always be set to <\/span><i><span style=\"font-weight: 400;\">\u2018Yes\u2019<\/span><\/i><span style=\"font-weight: 400;\">)<\/span>\n<ol class=\"wp-block-list\">\n<li><strong>Yes:\u00a0<\/strong>Records with this stage will remain on your plan to be carried onto the next day<\/li>\n\n\n\n<li><strong>No:<\/strong> Records set to a &#8216;No&#8217; stage will fall off of your plan but remain on your rollup list (Useful for people not interested, unable to contact, etc.)<\/li>\n<\/ol>\n<\/li>\n<\/ol>\n<\/li>\n\n\n\n<li><span style=\"font-weight: 400;\">Click <\/span><strong>Save<\/strong><\/li>\n<\/ol>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter\"><a href=\"https:\/\/learning.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/2\/2018\/06\/sample_rollup_stages.png\"><img decoding=\"async\" src=\"https:\/\/learning.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/2\/2018\/06\/sample_rollup_stages.png\" alt=\"\" class=\"wp-image-6942\"\/><\/a><\/figure><\/div>\n\n\n<p>Please note that Rollup Stages can be customized per-user.
