This orange color will be used moving forward to indicate records that have not consented to be contacted. Once a person has consented to being contacted, the orange highlight will be removed. Secondary to the orange highlight, a Locked Folder image will appear on the Record Layout and on your Search Results signifying that the person has not consented to be contacted. Lastly, upon activation; a GDPR tab is added to your Name Record Layout. This new tab will not have any data at first, but will contain the Name Records Consent Date and Purpose as those are gathered.<\/span><br \/>\n<span style=\"\">Moving forward, all new names entered into the database via Resume Parse, Add Name, Import, PCR Capture or Resume Inhaler; will receive the previously listed indicators as well as be added to both the Opt-Out Bulk Email and SMS Lists (historical names will not be added to these lists).<\/span><\/p>\n<h2><span style=\"\">Move Consent Date and Consent Purpose<\/span><\/h2>\n<p><span style=\"\">When GDPR becomes activated in a database a GDPR tab is added to the name record layout. This tab contains the EUC Consent Date and EUC Consent Purpose.<\/span><br \/>\n<span style=\"\">As with other fields in PCRecruiter, you can choose to add these to your main layout for quick access if desired (Please Note that only an administrator can edit the values selected from the GDPR tab or from GDPR fields on a name record. A non-admin user will need to use the Consent Log area to add consent for a record).<\/span><\/p>\n<ol>\n<li style=\"\"><span style=\"\">Access any <\/span><strong>Name Record<\/strong><span style=\"\"> in your database<\/span><\/li>\n<li style=\"\"><span style=\"\">Choose <\/span><strong>Customize<\/strong><span style=\"\"> from the action dropdown<\/span><\/li>\n<li style=\"\"><span style=\"\">Select <\/span><strong>Click to set Field<\/strong><span style=\"\"> from any group on your layout screen<\/span><\/li>\n<li style=\"\"><span style=\"\">Use the dropdown to select <\/span><strong>EUC Consent Date<\/strong><span style=\"\"> and <\/span><strong>EUC Consent Purpose<\/strong><\/li>\n<li style=\"\"><span style=\"\">Once the fields are added to your layout you may <\/span><strong>drag and drop<\/strong><span style=\"\"> them to the desired location<\/span><\/li>\n<li style=\"\"><span style=\"\">Click <\/span><strong>Save<\/strong><span style=\"\"> when finished<\/span><\/li>\n<\/ol>\n<h2><span style=\"\">Existing Data<\/span><\/h2>\n<p><span style=\"\">As GDPR begins its course, we need to also take into account the historical data. Historical data is any record that existed in your PCRecruiter database prior to the GDPR feature being activated.<\/span><br \/>\n<span style=\"\">Historical records will appear with the orange highlight and locked folder images however, they will not have a Consent Purpose or Date (As they have not Consented). The difference with these records is they have not been added to the Opt-out Bulk Email and SMS lists.<\/span><br \/>\n<span style=\"\">You will be able to request consent from these historic records through the same means as new Name Records.<\/span><\/p>\n<h4><span style=\"\">Bulk Change Historical Data<\/span><\/h4>\n<p><span style=\"\">The PCRecruiter Global Change feature will allow you to mass change a list of names to a Consent Status. This will be particularly useful for historically placed candidates, applicants, and clients.<\/span><br \/>\n<span style=\"\">Note: You must be an admin user to perform the following.<\/span><\/p>\n<ol>\n<li style=\"\"><span style=\"\">Create a <\/span><strong>Rollup List<\/strong><span style=\"\"> of the name records you wish to bulk change (Contact PCRecruiter Support if you are unsure how to find the names you wish to change)<\/span><\/li>\n<li style=\"\"><span style=\"\">Select <\/span><strong>System<\/strong><span style=\"\"> from the main toolbar<\/span><\/li>\n<li style=\"\"><span style=\"\">From the System menu choose <\/span><strong>Global Change<\/strong><\/li>\n<li style=\"\"><span style=\"\">Select <\/span><strong>Change Names<\/strong><\/li>\n<li style=\"\"><span style=\"\">Use the Field Name dropdown to select <\/span><strong>EUC Consent Purpose<\/strong><\/li>\n<li style=\"\"><span style=\"\">Select the <\/span><strong>Rollup List<\/strong><span style=\"\"> you would like to change (This step is very <\/span><strong>IMPORTANT<\/strong><span style=\"\">, if you do not choose a Rollup List all of your Name Records will be modified).<\/span><\/li>\n<li style=\"\"><span style=\"\">Choose the<\/span><strong> New Value<\/strong><span style=\"\"> to populate. This will populate for all Name Records on your selected Rollup List<\/span><\/li>\n<li style=\"\"><span style=\"\">Use the <\/span><strong>Original Value<\/strong><span style=\"\"> dropdown to choose if you would only like to modify records that have a particular existing value (This option is typically left as All Records)<\/span><\/li>\n<li style=\"\"><span style=\"\">Select <\/span><strong>Modify Only Empty Fields<\/strong><span style=\"\"> if you do not want Name Records with a value in the EUC Consent Purpose to be affected (Typically left unchecked to modify the previously selected Rollup List)<\/span><\/li>\n<li style=\"\"><span style=\"\">Select <\/span><strong>Apply<\/strong><span style=\"\"> to begin the changes..<\/span><\/li>\n<\/ol>\n<h2><span style=\"\">EUC Consent Purpose<\/span><\/h2>\n<p><span style=\"\">The following options are available on your GDPR tab for identifying the Purpose of a Name in your database:<\/span><\/p>\n<ul>\n<li><strong>None:<span style=\"\"> Historical Data, these names do not appear on the opt-out list and may be contacted freely (We of course recommend requesting consent)<\/span><\/strong><\/li>\n<\/ul>\n<ul>\n<li>Awaiting Consent: <span style=\"\">These names are new to your database and require consent prior to allowing contact. These records are signified with a locked folder icon and orange highlight. Any name listed as Awaiting Consent has been added to the Opt-Out Bulk Email and Opt-Out Bulk SMS lists, upon consenting they will automatically be removed from these lists.<\/span><\/li>\n<\/ul>\n<ul>\n<li>Candidate: <span style=\"\">These names have consented to be contacted as a Candidate &#8211; They are automatically removed from any Opt-Out Lists.<\/span><\/li>\n<\/ul>\n<ul>\n<li>Customer: <span style=\"\">These names have consented to be contacted as a Customer\/Client &#8211; They are automatically removed from any Opt-Out Lists.<\/span><\/li>\n<\/ul>\n<ul>\n<li>Customer or Candidate: <span style=\"\">These names have consented to be contacted as a Customer or a Candidate &#8211; They are automatically removed from any Opt-Out lists.<\/span><\/li>\n<\/ul>\n<ul>\n<li>Non-EU Data Subject: <span style=\"\">These names have been identified as living outside of the EU.<\/span><\/li>\n<\/ul>\n<h2><span style=\"\">Consent Log<\/span><\/h2>\n<p><span style=\"\">The Consent Log, accessed from the navigation toolbar on any name record, is used to track any given\/revoked consent from the desired Name Record. When viewing this log, the most recent item will be reflected in the EUC Purpose field (Unless a merge has taken place, in this case the master record will control the current Consent status).<\/span><br \/>\n<span style=\"\">From the Consent Log users also have the ability to manually add consent, this is useful if they consent to you verbally.<\/span><\/p>\n<ol>\n<li style=\"\"><span style=\"\">Select a <\/span><strong>Name Record<\/strong><span style=\"\"> in your database you wish to add consent for.<\/span><\/li>\n<li style=\"\"><span style=\"\">Choose <\/span><strong>Consent Log<\/strong><span style=\"\"> from the navigation toolbar<\/span><\/li>\n<li style=\"\"><span style=\"\">Choose<\/span><strong> Add Consent <\/strong><span style=\"\">from the action toolbar<\/span><\/li>\n<li style=\"\"><span style=\"\">Use the dropdown to choose the <\/span><strong>Purpose<\/strong><\/li>\n<li style=\"\"><span style=\"\">Select the <\/span><strong>Source<\/strong><span style=\"\"> of Consent<\/span><\/li>\n<li style=\"\"><span style=\"\">Add any additional <\/span><strong>Notes<\/strong><span style=\"\">; these will be stored in the Consent Log<\/span><\/li>\n<li style=\"\"><strong>Save<\/strong><span style=\"\"> when finished<\/span><\/li>\n<\/ol>\n<h2><span style=\"\">Merging GDPR Data<\/span><\/h2>\n<p><span style=\"\">When merging two name records while the GDPR feature is enabled the record that is identified as the Master Record during the merge process will be the EUC Consent information that is retained. See <\/span><a href=\"https:\/\/learning.pcrecruiter.net\/merge-duplicate-records\/\"><span style=\"\">https:\/\/learning.pcrecruiter.net\/merge-duplicate-records\/<\/span><\/a><span style=\"\"> for more information on merging records.<\/span><\/p>\n<h2><span style=\"\">Requesting Consent<\/span><\/h2>\n<p><span style=\"\">Consent can be requested via two platforms. The first option is added to your PCRecruiter Job Board allowing an applicant to consent during the application process. The second option allows users to create a form letter (or use an existing form letter) to individually email a person to request consent.<\/span><\/p>\n<h3><span style=\"\">Consent During the Application Process<\/span><\/h3>\n<p><span style=\"\">To enable EUC Consent during the application process, an admin level user will need to do the following:<\/span><\/p>\n<ol>\n<li style=\"\"><span style=\"\">Select <\/span><strong>System<\/strong><span style=\"\"> from the main toolbar<\/span><\/li>\n<li style=\"\"><span style=\"\">Choose <\/span><strong>Job Board<\/strong><\/li>\n<li>Choose\u00a0<strong>Job Board Messages<\/strong><\/li>\n<li style=\"\"><span style=\"\">On the left side, select <\/span><strong>Consent <\/strong><\/li>\n<li style=\"\"><span style=\"\">Switch <\/span><strong>Enabled<\/strong><span style=\"\"> to <\/span><strong>Yes<\/strong><span style=\"\"> to enable this feature.<\/span><\/li>\n<li style=\"\"><span style=\"\">Main Sequence has provided some generic text for your site here, however you are welcome to modify the<\/span><strong> Consent Message<\/strong><span style=\"\"> text prior to saving.<\/span><\/li>\n<li style=\"\"><strong>Save<\/strong><span style=\"\"> changes when complete. <\/span><\/li>\n<\/ol>\n<h3><span style=\"\">Request Consent via Email<\/span><\/h3>\n<p><span style=\"\">Once GDPR is activated in your database some email templates will automatically be added to your database, however; users also have the ability to add their own mail templates or modify existing letters if desired.<\/span><\/p>\n<h4><span style=\"\">Create\/Edit Letters<\/span><\/h4>\n<ol>\n<li style=\"\"><span style=\"\">Select <\/span><strong>System <\/strong><span style=\"\">from the main toolbar<\/span><\/li>\n<li style=\"\"><span style=\"\">Choose<\/span><strong> Letters<\/strong><\/li>\n<li style=\"\"><span style=\"\">Select <\/span><strong>Name Letters<\/strong><\/li>\n<li style=\"\"><span style=\"\">Select the auto generated <\/span><strong>GDPR<\/strong><span style=\"\"> folder from the hierarchy on the left<\/span>\n<ol>\n<li style=\"\"><span style=\"\">Here you can view\/edit the default mail templates<\/span><\/li>\n<\/ol>\n<\/li>\n<li style=\"\"><span style=\"\">Choose <\/span><strong>Add Letter<\/strong><span style=\"\"> from the action toolbar to create your own letter templates<\/span><\/li>\n<li style=\"\"><span style=\"\">Use the<\/span><strong> Insert Fields<\/strong><span style=\"\"> option to insert the appropriate GDPR Links into your template (Visit https:\/\/learning.pcrecruiter.net\/creating-name-letters for additional assistance with creating form letters)<\/span>\n<ol>\n<li style=\"\"><strong>GDPR_Candidate_Accept:<\/strong><span style=\"\"> If selected by recipient, will change EUC Purpose to \u2018Candidate\u2019<\/span><\/li>\n<li style=\"\"><strong>GDPR_Customer_Accept:<\/strong><span style=\"\"> If selected by recipient, will change EUC Purpose to \u2018Customer\u2019<\/span><\/li>\n<li style=\"\"><strong>GDPR_Candidate_Or_Customer_Accept:<\/strong><span style=\"\"> If selected by recipient, will change EUC Purpose to \u2018Candidate or Customer\u2019<\/span><\/li>\n<li style=\"\"><strong>GDPR_Deny:<\/strong><span style=\"\"> If selected by recipient, will change EUC Purpose to \u2018Forget\u2019, Add them to the Opt-Out Bulk Email and SMS Lists and change their record highlight color to orange<\/span><\/li>\n<li style=\"\"><strong>GDPR_Non_EU: <\/strong><span style=\"\">If selected by recipient will change EUC Purpose to \u2018Non-EU Data Subject\u2019<\/span><\/li>\n<\/ol>\n<\/li>\n<li style=\"\"><strong>Save<\/strong><span style=\"\"> Letter when finished<\/span><\/li>\n<\/ol>\n<h4><span style=\"\">Send Form Letter<\/span><\/h4>\n<p><span style=\"\">Once your form letter has been created via the previous instructions you will then need to send the email to name records as they are added to your database.<\/span><\/p>\n<ol>\n<li style=\"\"><span style=\"\">Access the <\/span><strong>Name Record<\/strong><span style=\"\"> you wish to request consent from<\/span><\/li>\n<li style=\"\"><span style=\"\">Hover over an <\/span><strong>Email Address<\/strong><span style=\"\"> on the name record<\/span><\/li>\n<li style=\"\"><span style=\"\">Select the <\/span><strong>Form Letter<\/strong><span style=\"\"> icon to the far right of the Email Address<\/span><\/li>\n<li style=\"\"><span style=\"\">Locate the desired form letter<\/span><\/li>\n<li style=\"\"><span style=\"\">Select <\/span><strong>Action <\/strong><span style=\"\">followed by <\/span><strong>Email<\/strong><span style=\"\"> for the desired letter<\/span><\/li>\n<li style=\"\"><span style=\"\">Make any necessary modifications<\/span><\/li>\n<li style=\"\"><strong>Send<\/strong><span style=\"\"> when finished<\/span><\/li>\n<\/ol>\n<h2><span style=\"\">Forget<\/span><\/h2>\n<p><span style=\"\">When a person has requested to be \u201cForgotten\u201d from your database they are added to the Forget Bin, an admin user can also select to Forget someone from the action menu on any name record. Once a name record has been Forgotten their information is completely removed from the database<\/span><strong> (Please Note: There is no undo or restore option available when using this feature).<\/strong><br \/>\n<span style=\"\">Once a person is forgotten they will no longer be searchable in the database. An auto assigned id number will be given to forgotten names which will be visible if the name existed in a pipeline. This is done for reporting purposes.<\/span><\/p>\n<h3><span style=\"\">Forget Bin<\/span><\/h3>\n<p><span style=\"\">An admin user may access the Forget Bin via the following:<\/span><\/p>\n<ol>\n<li style=\"\"><span style=\"\">Select <\/span><strong>System<\/strong><span style=\"\"> from the main toolbar<\/span><\/li>\n<li style=\"\"><span style=\"\">Choose <\/span><strong>Data Management<\/strong><\/li>\n<li style=\"\"><span style=\"\">Choose <\/span><strong>Forget Bin<\/strong><\/li>\n<\/ol>\n<p><span style=\"\">Once here an admin user may view name records that have been forgotten however they <\/span><strong>CANNOT<\/strong><span style=\"\"> undo or restore them.<\/span><br \/>\n<span style=\"\">From the Forget bin an admin user can also set an Auto Forget; this will cause name records to be automatically added to the Forget Bin after a predetermined number of inactive days.<\/span><br \/>\n<span style=\"\">To access this setting select the gear icon in the top right corner of the Forget Bin and enter the desired number of days (We recommend using this feature with extreme caution, remember; once a name is forgotten it cannot be remembered).<\/span><\/p>\n<h3><span style=\"\">Mass Forget<\/span><\/h3>\n<p><span style=\"\">If you are looking to cleanup your database of any records that have not responded to your request for consent the following will be helpful:<\/span><\/p>\n<ol>\n<li style=\"\"><span style=\"\">Select <\/span><strong>System<\/strong><span style=\"\"> from the main toolbar<\/span><\/li>\n<li style=\"\"><span style=\"\">Select <\/span><strong>Data Management<\/strong><\/li>\n<li style=\"\"><span style=\"\">Choose <\/span><strong>Identify Inactive Records<\/strong><\/li>\n<li style=\"\"><span style=\"\">Select an <\/span><strong>Inactive Record Rollup List<\/strong><span style=\"\"> (It is recommended to create a new list titled Inactive; names identified in this search will automatically be added to this list).<\/span><\/li>\n<li style=\"\"><span style=\"\">Choose the date you would like to use to use as a standard for <\/span><strong>Last Activity<\/strong><\/li>\n<li style=\"\"><span style=\"\">Choose if you would like to only include<\/span><strong> Candidates<\/strong><span style=\"\"> or <\/span><strong>All Name Records <\/strong><span style=\"\">(This is based on PCRecruiter\u2019s Predefined <\/span><strong>Status<\/strong><span style=\"\"> field)<\/span><\/li>\n<li style=\"\"><span style=\"\">Select <\/span><strong>Activity Date<\/strong><\/li>\n<li style=\"\"><span style=\"\">Choose the <\/span><strong>EUC Consent Purpose<\/strong><span style=\"\"> you would like to identify as Inactive (More than likely <\/span><strong>\u2018Awaiting Consent\u2019<\/strong><span style=\"\">)<\/span><\/li>\n<li style=\"\"><span style=\"\">Select <\/span><strong>Search<\/strong><\/li>\n<li style=\"\"><span style=\"\">Name records meeting this criteria, will automatically be added to the identified rollup list<\/span><\/li>\n<li style=\"\"><span style=\"\">Open the <\/span><strong>Rollup list<\/strong><\/li>\n<li style=\"\"><strong>Select all<\/strong><span style=\"\"> Name records you wish to Forget<\/span><\/li>\n<li style=\"\"><span style=\"\">Choose<\/span><strong> Forget<\/strong><span style=\"\"> from the action dropdown. (These records will be permanently forgotten!!)<\/span><\/li>\n<\/ol>\n<h2><span style=\"\">Download Name Details<\/span><\/h2>\n<p><span style=\"\">The final component of the GDPR feature is the ability to Download an entire name record from the database. <\/span><\/p>\n<ol>\n<li style=\"\"><span style=\"\">Select the <\/span><strong>name record<\/strong><span style=\"\"> you would like to download<\/span><\/li>\n<li style=\"\"><span style=\"\">Choose <\/span><strong>Download<\/strong><span style=\"\"> from the action dropdown<\/span><\/li>\n<li style=\"\"><span style=\"\">You will be presented with a list of items to include in your download,<\/span><strong> checkmark<\/strong><span style=\"\"> those items you wish to include<\/span><\/li>\n<li style=\"\"><span style=\"\">Select <\/span><strong>Download<\/strong><\/li>\n<li style=\"\"><span style=\"\">Name record details will be exported to a .CSV file, attachments will be downloaded to a .zip file <\/span><\/li>\n<\/ol>\n","protected":false},"excerpt":{"rendered":"<p>Awaiting Consent Indicators Upon activating the GDPR functionality in your PCRecruiter database all name records will become highlighted in orange.
