{"id":6751,"date":"2017-08-16T21:05:45","date_gmt":"2017-08-16T21:05:45","guid":{"rendered":"https:\/\/learning.pcrecruiter.net\/?p=6751"},"modified":"2024-01-02T17:33:13","modified_gmt":"2024-01-02T17:33:13","password":"","slug":"creating-a-pipeline-automation-to-send-a-form-letter","status":"publish","type":"docs","link":"https:\/\/learning.pcrecruiter.net\/site\/docs\/legacy-pipeline\/creating-a-pipeline-automation-to-send-a-form-letter\/","title":{"rendered":"Creating a Pipeline Automation to Send a Form Letter"},"content":{"rendered":"<h3><span style=\"\">Creating a Pipeline Automation Plan<\/span><\/h3>\n<p><span style=\"\">In order to use a pipeline automation plan to send an email template there will be two items you need to create.<\/span><\/p>\n<h4><span style=\"\">Create an Interview Form Letter<\/span><\/h4>\n<p><span style=\"\">The first piece will be to create the email template you wish to send. Now you can use Name or Position Form Letters but an Interview Form Letter will allow you to insert the most fields from all available record types (Company, Name, Position and even Interview information).<\/span><\/p>\n<ol>\n<li style=\"\"><span style=\"\">Go to <\/span><strong>System<\/strong><span style=\"\"> at the top<\/span><\/li>\n<li style=\"\"><span style=\"\">Select <\/span><strong>Form Letters<\/strong><span style=\"\"> from the list on the left<\/span><\/li>\n<li style=\"\"><span style=\"\">Click <\/span><strong>Interview Form Letters <img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-9176\" src=\"https:\/\/learning.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/2\/2017\/08\/Pipeline-Automation-1.png\" alt=\"\" width=\"902\" height=\"399\" \/><\/strong><strong><br \/>\n<\/strong><\/li>\n<li style=\"\"><span style=\"\">In the lower frame of the window click the <\/span><strong>plus sign<\/strong><span style=\"\"> from the action menu to create a new interview template<\/span><\/li>\n<li style=\"\"><span style=\"\">Give it a name and type the body of the email using the insert fields to pull data from records where desired<\/span><\/li>\n<li style=\"\"><span style=\"\">Click <\/span><strong>Save<\/strong><span style=\"\"> at the bottom right when finished<\/span><\/li>\n<\/ol>\n<h4><span style=\"\">Create the Pipeline Automation Plan<\/span><\/h4>\n<p><span style=\"\">Now that you have the email template it is time to create the automation plan and append it to an interview status code.<\/span><\/p>\n<ol>\n<li style=\"\"><span style=\"\">Click <\/span><strong>System<\/strong><span style=\"\"> at the top<\/span><\/li>\n<li style=\"\"><span style=\"\">Scroll down to <\/span><strong>Database Setup<\/strong><span style=\"\"> on the left<\/span><\/li>\n<li style=\"\"><span style=\"\">Select <\/span><strong>Pipeline Setup<\/strong><span style=\"\"> to the right<\/span><\/li>\n<li style=\"\"><span style=\"\">In the lower frame choose <\/span><strong>Manage Automation Plans<\/strong> from the action menu<span style=\"\"><br \/>\n<\/span><\/li>\n<li style=\"\"><span style=\"\">Click <\/span><strong>Add<\/strong><span style=\"\"> in the lower right corner<\/span><\/li>\n<li style=\"\"><span style=\"\">At the top left check the box if you want it to warn your users when you move a candidate into the interview status code tied to the automation plan<\/span><\/li>\n<li style=\"\"><span style=\"\">Also in the upper left corner is a dropdown box to select the interview status code you wish to append the automation plan to.<\/span><span style=\"\"><br \/>\n<\/span><strong>*** Note: Do NOT select an Interview Type. The automation plans only work with Interview Status&#8217;s (sub categories)***<\/strong><span style=\"\"><br \/>\n<\/span><\/li>\n<li style=\"\"><span style=\"\">Go to the \u2018Send Form Letter\u2019 option and check the box to the far right to activate in your Automation Plan (other options can be selected as well if desired)<\/span><\/li>\n<li style=\"\"><span style=\"\">Leave the \u2018To\u2019 email blank to send the template to the candidate that you are moving to that interview status code in the pipeline<\/span><\/li>\n<li style=\"\"><span style=\"\">You can select <\/span><strong>Logged In User<\/strong><span style=\"\"> in the \u2018From\u2019 dropdown box so that any user in the database can send the template when they are moving candidates in the pipeline<\/span><\/li>\n<li style=\"\"><span style=\"\">Type in a subject line for the email<\/span><\/li>\n<li style=\"\"><span style=\"\">Select your template in the dropdown for Form Letter Name <img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-9177\" src=\"https:\/\/learning.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/2\/2017\/08\/Pipeline-Automation-2.png\" alt=\"\" width=\"1364\" height=\"465\" \/><\/span><span style=\"\"><br \/>\n<\/span><\/li>\n<li style=\"\"><span style=\"\">Click <\/span><strong>Save<\/strong><span style=\"\"> at the bottom<\/span><span style=\"\"><br \/>\n<\/span><span style=\"\"><br \/>\n<\/span><span style=\"\">Now your Automation Plan is live. This plan will be activated for all users and cannot be set for specific users in a database. I would test this by moving a sample name record with a valid email address in the email address field to your interview status code in a position\u2019s pipeline.
