These profiles can be set up as part of your Job Board or emailed to a respondent for completion via their Name record or via a Form Letter. <\/p>\n\n\n\n<p>No matter the source, upon completion the profile can be found in the Attachments of the record it belongs to.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Emailing Profiles<\/h2>\n\n\n\n<h3 class=\"wp-block-heading\">Send Profile Link in Single Email<\/h3>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Access a name record and click on the &#8216;Email&#8217; icon (Envelope) to the right of the Email Address field.<\/li>\n\n\n\n<li>Compose your email as you wish.<\/li>\n\n\n\n<li>Click the &#8216;Send Options&#8217; box at the left side of the Compose Email window.<\/li>\n\n\n\n<li>Click on the &#8216;Attach Profile&#8217; option.<\/li>\n\n\n\n<li>Choose the Profile you would like the recipient to complete.<\/li>\n\n\n\n<li>Send your email.<\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/learning.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/2\/2016\/09\/composemail.png\" alt=\"\" class=\"wp-image-9718\"\/><\/figure>\n\n\n\n<p class=\"has-text-align-left\">PCRecruiter will automatically prepend a box to the top of your email that says:<\/p>\n\n\n\n<figure class=\"wp-block-table\"><table><tbody><tr><td>The sender has <span class=\"il\">requested<\/span> that an online data form be completed.&nbsp;<a style=\"font-size: 12pt; text-decoration: underline; font-weight: bold; font-family: Arial,Helvetica,sans-serif; color: #1c8cbc;\" href=\"#\" target=\"_blank\" rel=\"noopener\">Click here to complete <em>NAME OF PROFILE<\/em><\/a><\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<p class=\"has-text-align-left\">The text of this message will be replaced if any alternate text has been put into the &#8216;Form Letter Clickable Text&#8217; box on the <a href=\"https:\/\/learning.pcrecruiter.net\/site\/creating-profiles\/\">Profile Settings<\/a> screen.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Send Profile Link in Form Letter<\/h3>\n\n\n\n<p>This option is to be used when you would like to include a link to a Profile form in an email template.<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Select System from the main toolbar.<\/li>\n\n\n\n<li>Choose Form Letters<\/li>\n\n\n\n<li>Select the type of letter you would like to create.<\/li>\n\n\n\n<li>Create your Form Letter as usual.<\/li>\n\n\n\n<li>Place your cursor where you want to create a Profile link in the text<\/li>\n\n\n\n<li>Click the &#8220;Insert Fields&#8221; button. A popup will appear that contains a dropdown of all fields and profiles that can be inserted.<\/li>\n\n\n\n<li>Click inside of the dropdown and type in part of the name of the form. All Profiles in the dropdown appear as &#8220;Profile.<em>Name of Profile<\/em>&#8220;<\/li>\n\n\n\n<li>Select Insert. You should see a tag like [[Profile.<em>Name of Profile<\/em>]] in the body of your message. This will be replaced with an actual hyperlink to the recipient&#8217;s form when the mail is sent. The inserted link&#8217;s text will be &#8220;Click here to complete <em>Name of Profile&#8221;<\/em> &#8211; this can be altered by changing the &#8216;Form Letter Clickable Text&#8217; on the <a href=\"https:\/\/learning.pcrecruiter.net\/site\/creating-profiles\/\">Profile Settings<\/a>.<\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/learning.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/2\/2016\/09\/composemailinsert.png\" alt=\"\" class=\"wp-image-9719\"\/><\/figure>\n\n\n\n<h3 class=\"wp-block-heading\">Email Profile with Position Pipeline Link<\/h3>\n\n\n\n<p>If a Profile is emailed using any Form Letter or template that is associated with a specific job, PCRecruiter will associate the form response with the selected Job. This effectively is an &#8220;invitation to the Pipeline&#8221; if the recipient is not already linked to the position, or a method of self-qualification if any <a href=\"https:\/\/learning.pcrecruiter.net\/site\/automation-plans-for-profiles\/\">Automation Plans for Profiles<\/a> are configured. Profile Automations will be run just as if the recipient were using the Job Board to interact with that opening. Pipeline records created by Profiles will have the &#8216;Form&#8217; step indicated on them and &#8220;From Profile&#8221; indicated in the notes on that step.<\/p>\n\n\n\n<p>For more information see <a href=\"https:\/\/learning.pcrecruiter.net\/site\/position-letters\/\">Position Letters<\/a> and&nbsp;<a href=\"https:\/\/learning.pcrecruiter.net\/site\/pipeline-emails-2\/\">Pipeline Emails<\/a>.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Sending Profiles from Outlook<\/h3>\n\n\n\n<p>If you are sending email via the <a href=\"https:\/\/learning.pcrecruiter.net\/site\/sending-emails\/\">PCRecruiter for Outlook<\/a> Integration, follow these steps to add a Profile link to the message.<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Locate the Name record.<\/li>\n\n\n\n<li>Click the Email icon to the right of the \u2018Email Address\u2019 field. This will launch the Outlook message screen.<\/li>\n\n\n\n<li>At the top of the message window, click the PCRecruiter:(database) tab.<\/li>\n\n\n\n<li>Click <em>Insert Profile Link<\/em> in the Attachments area. A window will appear listing the Profiles for your database.<\/li>\n\n\n\n<li>Click on the name of the Profile to insert it into the email.<\/li>\n<\/ol>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter\"><img decoding=\"async\" src=\"https:\/\/learning.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/2\/2016\/09\/profile-from-outlook.png\" alt=\"Sending from Outlook\" class=\"wp-image-9763\"\/><\/figure><\/div>\n\n\n<h2 class=\"wp-block-heading\">Profiles for Job Board<\/h2>\n\n\n\n<p>Profiles can be associated with the <a href=\"https:\/\/learning.pcrecruiter.net\/site\/docs\/job-board\/job-board-configuration\/\" data-type=\"docs\" data-id=\"6923\">Job Board<\/a> in two ways, depending on how broadly you&#8217;d like it to be applied.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Profiles for All New Names<\/h3>\n\n\n\n<p>The Profile will appear as &#8216;step two&#8217; in the process, after the candidate has completed the form to add themselves to the database. <\/p>\n\n\n\n<p>If the candidate completes the initial form and then leaves without finishing the process, they will appear in your database but they will not have the Profile attached.<\/p>\n\n\n\n<p>You will find these configurations under the <a href=\"https:\/\/learning.pcrecruiter.net\/site\/docs\/job-board\/job-board-options\/\">Job Board Options<\/a>:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>If you want all <strong>passive candidates<\/strong> to complete the Profile, add that form to System >> Job Board >> Job Board Options >> Profiles >> <strong>Registration Profile<\/strong>.<\/li>\n\n\n\n<li>If you want all <strong>applicants <\/strong>(i.e. those who are applying to any job, vs. simply submitting a passive registration) to complete the Profile, add that form to System >> Job Board >> Job Board Options >> Profiles >> <strong>Apply\/Inquire Profile<\/strong>.<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">Profiles for Specific Roles<\/h3>\n\n\n\n<p>This method is used when you want to attach questions to a specific job so that only people applying to that role are asked to complete the form. This is also the only scenario in which a Profile can be used to trigger <a href=\"https:\/\/learning.pcrecruiter.net\/site\/docs\/profile-forms\/profile-automation\/#on-completion-settings\">Knockout Automations<\/a>. <\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Open any Position<\/li>\n\n\n\n<li>Open the <strong>Edit Inquiry<\/strong> option in the Navigation Menu on that Position.<\/li>\n\n\n\n<li>Use the <strong>Attach Profile<\/strong> option in the Action menu to select a form for this Position. You may select multiple forms, which will  be presented to the applicant in order during their apply process.<\/li>\n<\/ol>\n\n\n\n<p>Profiles attached to specific roles will appear after the initial register\/apply form in the job board, and after any &#8216;general&#8217; Profiles set using the Job Board Options as described above.
