This is a useful way to track the relationship with a record since activities can be searched and reported on. Many actions you perform in PCRecruiter will automatically record an activity (<a href=\"https:\/\/learning.pcrecruiter.net\/site\/docs\/activities\/system-generated-activities\/\">click here<\/a> for a list of system generated activities). \u00a0However, you can use Custom Activities to manually record actions such as leaving a voicemail or making a specific type of call.<\/p>\n<p><strong>Administrators:<\/strong><a href=\"https:\/\/learning.pcrecruiter.net\/site\/docs\/augmenting-records\/activity-types\/\"> click here<\/a> to learn how to setup custom activity types<\/p>\n<h3>Viewing Existing Activities<\/h3>\n<ol>\n<li>Go to the record you wish to view activities for.<\/li>\n<li>Choose <strong>Activities<\/strong> from the Navigation menu.<\/li>\n<li>Here you can see the following:\n<ol>\n<li><strong>Select<\/strong>: Allows you to choose multiple activities to delete. (Deleting is done via the trash can icon in the action menu.)<\/li>\n<li><strong>Save<\/strong>: If you need to edit any part of the activity (Date, Username, Text, etc.), you will select the corresponding Save icon to save your changes.<\/li>\n<li><strong>Date\/Time<\/strong>: Shows the Date\/Time that the activity took place. This may also show a future date indicating a follow-up that has been scheduled.<\/li>\n<li><strong>Activity Type<\/strong>: This indicates the type of action that has been completed. Examples of these include Cold Call, Left Voicemail, etc.<\/li>\n<li><strong>Result<\/strong>: Shows a result of the Activity Type, for instance Connected, Attempt, Missed Call, etc.<\/li>\n<li><strong>Username<\/strong>: The username that has completed the action or the user whose name is selected when creating a new activity.<\/li>\n<li><strong>Activity Text:<\/strong> This is a box that will contain any notes pertaining to your activity. This box will include your email body where appropriate.<\/li>\n<\/ol>\n<\/li>\n<\/ol>\n<h3>Adding an Activity<\/h3>\n<ol>\n<li>Go to the record you wish to schedule an activity for.<\/li>\n<li>Click the <strong>Add Activity<\/strong> action icon.\n<ol>\n<li>You can also go to the Activities navigation icon to view all activities, then select Add from the action menu.<\/li>\n<\/ol>\n<\/li>\n<li>To modify when the action occurred, select the <strong>Date And Time<\/strong> box and use the calendar picker to select the time.<\/li>\n<li>Checkmark the box for <strong>Schedule <\/strong>to place the activity on the PCR calendar of the selected User Name.\n<ul>\n<li>Use the dropdown directly next to the date and time to choose the <strong>duration<\/strong> of the activity (appointment).<\/li>\n<li>Choose the appropriate <strong>color<\/strong> for your activity. (Or click <a href=\"https:\/\/learning.pcrecruiter.net\/site\/docs\/activities\/activity-defaults\/\">here<\/a> to learn how to set them up).<\/li>\n<li>Click the <strong>Alarm<\/strong> icon to choose your desired alarm option. (This will trigger a standard PCR popup alarm).<\/li>\n<\/ul>\n<\/li>\n<li>Choose the appropriate <strong>Activity Type<\/strong>.\n<ul>\n<li>If the selected Activity Type has Result Code options, an additional dropdown will appear to select your result code.<\/li>\n<\/ul>\n<\/li>\n<li>Adjust the <strong>User Name<\/strong> if the Activity should be written by a different user name than you are currently logged in as.\n<ul>\n<li>Note: Modifying the username will add the scheduled appointment to the selected users\u2019 schedule rather than the user who is creating the activity.<\/li>\n<\/ul>\n<\/li>\n<li>Enter any notes into the <strong>Activity Text<\/strong> box. (What appears in this box automatically? Click <a href=\"https:\/\/learning.pcrecruiter.net\/site\/docs\/activities\/activity-defaults\/\">here<\/a> to learn how to change your defaults).<\/li>\n<li>Check <strong>Copy to Company<\/strong> to copy the activity to the associated Company Record.<\/li>\n<li>Click <b style=\"font-size: revert;background-color: var(--global--color-background);color: var(--global--color-primary);font-family: var(--global--font-secondary)\">Save<\/b> to create your activity and add it to the schedule.<\/li>\n<\/ol>\n<h3>Viewing User Schedules<\/h3>\n<p>From the Add Activity screen, you can also access a quick view of your and other users&#8217; schedules.<\/p>\n<ol>\n<li>Click <strong>Schedule<\/strong> (calendar icon) in the top right corner of the Add Activity screen.<\/li>\n<li>Use the dropdown in the top left corner to toggle between usernames.\n<ol>\n<li>If you do not see a username in this dropdown, the user is not currently sharing their schedule. To share a schedule, do the following while logged in as the username: Go to <strong>Schedule<\/strong> on the main toolbar, choose <strong>Manage Calendars<\/strong> from the action toolbar on the right, check the \u201c<strong>Share Calendar<\/strong>\u201d option, close the window. (DO NOT select Add, just close the window).<\/li>\n<li>Once the above steps are completed, you will see the additional username upon reloading the Add Activity screen.<\/li>\n<\/ol>\n<\/li>\n<\/ol>\n<h3>Add an Activity With a Follow-up<\/h3>\n<ol>\n<li>Follow the steps above to <strong>Add an Activity<\/strong>, but before you save, you can schedule a follow-up in the same window.<\/li>\n<li>In the Schedule Follow-up tab enter your <strong>Follow-Up Date\/Time<\/strong> into the appropriate box.\n<ul>\n<li>Use the dropdown directly next to the date and time to choose the <strong>duration<\/strong> of the activity (appointment).<\/li>\n<li>Choose the appropriate <strong>color<\/strong> for your activity (Or click<a href=\"https:\/\/learning.pcrecruiter.net\/site\/docs\/activities\/activity-defaults\/\"> here<\/a> to learn how to set them up).<\/li>\n<li>Click the <strong>Alarm<\/strong> icon to choose your desired alarm option. (This will trigger a standard PCR popup alarm).<\/li>\n<\/ul>\n<\/li>\n<li>In the <strong>Select Users<\/strong> box, use the add button to choose additional users for this follow-up. (The person creating the activity will automatically be selected). Whoever is selected in this box will receive a scheduled item on their calendar.<\/li>\n<li>Select the checkbox for \u201c<strong>Create Follow-Up as separate activity<\/strong>\u201d to write the follow up as its own activity. (Click <a href=\"https:\/\/learning.pcrecruiter.net\/site\/docs\/activities\/activity-defaults\/\">here<\/a> to learn how to set what activity type is being written when this checkbox is selected).<\/li>\n<li>Select <strong>Save<\/strong> to create your activity and your follow-up.<\/li>\n<\/ol>\n<h3>Track Your Daily Activities on Your Schedule<\/h3>\n<p>Using this option, you can quickly access your schedule and view all activity which has taken place during the day (This is a great tracking tool!)<\/p>\n<ol>\n<li>Create an activity following the directions discussed above.<\/li>\n<li>Check the option for <strong>Schedule<\/strong>. (This can be checked by <a href=\"https:\/\/learning.pcrecruiter.net\/site\/docs\/activities\/activity-defaults\/\">default<\/a> as well).<\/li>\n<li>Click <strong>Save<\/strong> to create your activity and place it onto your calendar.<\/li>\n<\/ol>\n<h3>Copy to Company<\/h3>\n<p>This option is great to use when communicating with multiple contacts within a company. Anytime you wish to see the activities, you can access the company and see all the activities despite the name it was written under.<\/p>\n<ol>\n<li>Go to the record and create an activity as discussed above.<\/li>\n<li>Check the option to <strong>Copy To Company<\/strong>. (This can be checked by <a href=\"https:\/\/learning.pcrecruiter.net\/site\/docs\/activities\/activity-defaults\/\">default<\/a> as well).<\/li>\n<li>Click Save to create your activity.<\/li>\n<\/ol>\n<h3>Share Activity<\/h3>\n<p>Use the Share Activity area to copy an activity to another name record and send that person an email. (Email is only available when adding a name activity). Prior to saving an activity:<\/p>\n<ol>\n<li>Click the plus sign icon next to the \u201c<strong>Share Activity<\/strong>\u201d box\n<ul>\n<li>If you do not see the Share Activity box, click <a href=\"https:\/\/learning.pcrecruiter.net\/site\/docs\/activities\/activity-defaults\/\">here<\/a> to see how to custom your default settings.<\/li>\n<\/ul>\n<\/li>\n<li><strong>Search<\/strong> for the Name Record you would like to share this activity with.<\/li>\n<li>Choose <strong>Copy<\/strong> to write this activity to both the record it originated from as well as the selected record(s).<\/li>\n<li>Choose <strong>Email<\/strong> to send an email to the name record(s) you have selected.<\/li>\n<li>Click <strong>Save<\/strong> to trigger the email and create the duplicate activity.<\/li>\n<\/ol>\n","protected":false},"excerpt":{"rendered":"<p>Activities are used to record communications, events, and actions related to a record (i.e. telephone calls, emails and letters sent, interviews, etc).
