Steps are the colored headings shown across the top of the Pipeline. Adding a Step will move the Name to the selected Step in the process. Following the steps below will move the Candidate as well as create an activity history of the action.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Add Step<\/h3>\n\n\n\n<p>The first option is via right clicking:<\/p>\n\n\n\n<ol class=\"wp-block-list\" id=\"l7\">\n<li>Locate the&nbsp;<strong>Name&nbsp;<\/strong>in the Pipeline that you wish to move to a new Step<\/li>\n\n\n\n<li><strong>Right Click<\/strong>&nbsp;<span class=\"p\">on the Name Card<\/span><\/li>\n\n\n\n<li>Choose&nbsp;<strong>Add Step<\/strong><\/li>\n<\/ol>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter size-full is-resized\"><img decoding=\"async\" src=\"https:\/\/learnsuite.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/7\/2024\/09\/image-180.png\" alt=\"\" class=\"wp-image-13592\" style=\"width:388px;height:auto\" \/><\/figure><\/div>\n\n\n<p>The second option is to utilize the Action Menu<\/p>\n\n\n\n<ol class=\"wp-block-list\" id=\"l8\">\n<li><strong>Left click the Name<\/strong>&nbsp;<span class=\"p\">you would like to create a Step for<\/span><\/li>\n\n\n\n<li>Click&nbsp;<strong>Actions<\/strong><\/li>\n\n\n\n<li>Click&nbsp;<strong>Add Step<\/strong><\/li>\n<\/ol>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter size-full is-resized\"><img loading=\"lazy\" decoding=\"async\" width=\"1278\" height=\"917\" src=\"https:\/\/learning.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/6\/2024\/10\/image-36.png\" alt=\"\" class=\"wp-image-13295\" style=\"width:767px;height:auto\" srcset=\"https:\/\/learning.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/6\/2024\/10\/image-36.png 1278w, https:\/\/learning.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/6\/2024\/10\/image-36-300x215.png 300w, https:\/\/learning.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/6\/2024\/10\/image-36-1024x735.png 1024w, https:\/\/learning.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/6\/2024\/10\/image-36-768x551.png 768w, https:\/\/learning.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/6\/2024\/10\/image-36-360x258.png 360w\" sizes=\"auto, (max-width: 1278px) 100vw, 1278px\" \/><\/figure><\/div>\n\n\n<h3 class=\"wp-block-heading\" id=\"stepdetails\">Adding Step Details<\/h3>\n\n\n\n<p>Once you have accessed the Add Step screen you will add the necessary details.<\/p>\n\n\n\n<ol class=\"wp-block-list\" id=\"l9\">\n<li>Select the&nbsp;<strong>Step&nbsp;<\/strong>you would like to move the Name to<\/li>\n\n\n\n<li>Choose your&nbsp;<strong>Appointment Date\/Time<\/strong>; this will appear on your Schedule upon Saving if the Schedule Checkbox is selected.<\/li>\n\n\n\n<li>Choose&nbsp;<strong>Additional Scheduling Options&nbsp;<\/strong>if desired, this will allow you to schedule a follow up:\n<ol class=\"wp-block-list\" style=\"list-style-type:lower-alpha\" id=\"l10\">\n<li>Select&nbsp;<strong>Follow Up Date and Time<\/strong><\/li>\n\n\n\n<li>Choose&nbsp;<strong>Duration&nbsp;<\/strong>of Follow Up<\/li>\n\n\n\n<li>Choose any&nbsp;<strong>Additional Users&nbsp;<\/strong>who should have this follow up on their Schedule.<\/li>\n<\/ol>\n<\/li>\n\n\n\n<li>Check the&nbsp;<strong>Schedule&nbsp;<\/strong>option to add the Appointment Date\/Time to your Schedule<\/li>\n\n\n\n<li>Once the Schedule option has been checked, the&nbsp;<strong>Duration&nbsp;<\/strong>dropdown will become available. This dictates the duration of the Step that will be added to your schedule.<\/li>\n\n\n\n<li>Toggle the&nbsp;<strong>Alarm&nbsp;<\/strong>On or Off by simply selecting it. If you choose to use the alarm, it will appear 15 minutes before your Scheduled Step.<\/li>\n\n\n\n<li>The&nbsp;<strong>Written By&nbsp;<\/strong>field will automatically display your Username and typically does not need to be adjusted. If you are entering the Interaction on behalf of someone else, you can use the Written By dropdown to change the Username.<\/li>\n\n\n\n<li><strong>Interviewer Name<\/strong>&nbsp;<span class=\"p\">is used to assign an Interviewer to this Interaction (you may not always need to use this).<\/span><\/li>\n\n\n\n<li><strong>Step Notes<\/strong>&nbsp;<span class=\"p\">are notes that are associated with the Step<\/span><\/li>\n<\/ol>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter size-full is-resized\"><img decoding=\"async\" src=\"https:\/\/learnsuite.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/7\/2024\/10\/New-Pipeline-Add-Step-Upper-Pane.png\" alt=\"\" class=\"wp-image-14430\" style=\"width:761px;height:auto\" \/><\/figure><\/div>\n\n\n<p>At this point you can save the Step you have created. Upon doing so, the Name will be moved to the Step you have selected.<\/p>\n\n\n\n<p>However, you can also choose to send an Email when saving this Step as well. The Name would move to the Step and the Email would send when Save Step is selected.<\/p>\n\n\n\n<ol class=\"wp-block-list\" id=\"l11\">\n<li>Toggle the&nbsp;<strong>Send Email&nbsp;<\/strong>option to&nbsp;<strong>On<\/strong><\/li>\n\n\n\n<li>There are two options for generating content to email;\n<ol class=\"wp-block-list\" style=\"list-style-type:lower-alpha\" id=\"l12\">\n<li><strong>Compose&nbsp;<\/strong><span class=\"p\">on the Fly by typing into the Compose Mail box<\/span><\/li>\n\n\n\n<li>Use the<strong> Template&nbsp;<\/strong>dropdown to select a Pipeline Email to send (these can be automatically populated with details from the Interaction)<\/li>\n<\/ol>\n<\/li>\n\n\n\n<li>There are also two options for choosing who will be the recipient of the Email, both options can be used at once.\n<ol class=\"wp-block-list\" style=\"list-style-type:lower-alpha\" id=\"l11\">\n<li>Type an&nbsp;<strong>Email Address&nbsp;<\/strong>or multiple into the&nbsp;<strong>To&nbsp;<\/strong>field (freeform)<\/li>\n\n\n\n<li>Check&nbsp;<span class=\"p\">the options&nbsp;<\/span>for <strong>Candidate, Contact, and Interviewer<\/strong>&nbsp;<span class=\"p\">&#8211; this option will send Blind copies of the selected email to these Names.<\/span><\/li>\n<\/ol>\n<\/li>\n\n\n\n<li>Enter an&nbsp;<strong>Email Subject<\/strong><\/li>\n\n\n\n<li>Check the option to&nbsp;<strong>Send as Meeting Request&nbsp;<\/strong>if desired<\/li>\n\n\n\n<li>Use the&nbsp;<strong>Attachment&nbsp;<\/strong>option to the right of the Subject field to choose any Attachments (Note, if you have selected a Pipeline email the Candidates Resume may be automatically attached)<\/li>\n\n\n\n<li>Click&nbsp;<strong>Save Step<\/strong><\/li>\n\n\n\n<li><strong>Close&nbsp;<\/strong><span class=\"p\">the Add Interaction dialog box when finished<\/span><\/li>\n<\/ol>\n\n\n<div class=\"wp-block-image is-style-default\">\n<figure class=\"aligncenter size-full is-resized\"><img decoding=\"async\" src=\"https:\/\/learnsuite.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/7\/2024\/10\/New-Pipeline-Add-Step-Lower-Pane.png\" alt=\"\" class=\"wp-image-14433\" style=\"width:613px;height:auto\" \/><\/figure><\/div>\n\n\n<h3 class=\"wp-block-heading\" id=\"dragdrop\">Drag and Drop<\/h3>\n\n\n\n<p>In the previous directions we went through all the specific details for adding a Step to move the Person through the Pipeline. There is also an option to Drag and Drop as well. This option will allow you to select either one Name or Multiple and then Drag and Drop them to a different Step. If the Step is configured as a  Pop-Up Step (by your Admin), the Add Step screen will appear upon dropping the Names. If the Step is set to Move to Step, the Names will just be moved to the Step with no additional details required.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Submitting Candidates<\/h2>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Candidate presentations allow users to present a candidate or candidates to a client; also known as a candidate submittal. In your Presentation, you have the option to include Attachments, Resumes, Profiles, and Field Data in a customized format.<\/li>\n\n\n\n<li>Click <a href=\"https:\/\/learning.pcrecruiter.net\/site\/docs\/augmenting-records\/candidate-presentations\/#enabling-candidate-presentations\">here<\/a> to see more details on Presentations and how to utilize them.<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\"><span>Emailing a resume from the Candidate&#8217;s Record Card<\/span><\/h3>\n\n\n\n<p>You also have the flexibility to email the resume directly from the position&#8217;s pipeline without the need to access the Add Step screen.<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li><span>Open the Position record.<\/span><\/li>\n\n\n\n<li><span style=\"font-family: var(--list--font-family);background-color: var(--global--color-background);color: var(--global--color-primary);font-size: var(--global--font-size-base)\">Select &#8220;Pipeline&#8221; from the navigation toolbar<\/span>.<\/li>\n\n\n\n<li>Right-click on the candidate&#8217;s Record Card, then choose &#8220;Email&#8221;.<\/li>\n\n\n\n<li><span style=\"font-family: var(--list--font-family);background-color: var(--global--color-background);color: var(--global--color-primary);font-size: var(--global--font-size-base)\">When it comes to composing the email, you have two options:<\/span>\n<ul class=\"wp-block-list\">\n<li>You can compose the email directly.<\/li>\n\n\n\n<li>You can click &#8220;Template&#8221; in the editing toolbar to choose a &#8220;Pipeline Email&#8221; template to serve as a starting point. <\/li>\n<\/ul>\n<\/li>\n\n\n\n<li><span>From the email screen you are able to:<\/span>\n<ul class=\"wp-block-list\">\n<li><span>Use <\/span><strong>Email<\/strong><span> to compose your message, add a subject, and specify recipients in To\/CC\/BCC fields.<\/span><\/li>\n\n\n\n<li><span>Use <\/span><strong>Send Options<\/strong><span> to create a meeting request, request a return receipt, set the level of importance, attach a profile, or include a feedback link. You can also choose to mark as private email, or combine all attachments into a single PDF document. You can choose to send to a rollup list (useful for submitting a candidate to a group of people), the candidate, or the position contact. This allows for knowing exactly what took place during which Step of the process and the Pipeline as a whole.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Add Activity<\/h3>\n\n\n\n<p>The first option is via right clicking:<\/p>\n\n\n\n<ol class=\"wp-block-list\" id=\"l8\">\n<li>Locate the&nbsp;<strong>Name&nbsp;<\/strong>in the Pipeline that you wish to write a new Activity for<\/li>\n\n\n\n<li><strong>Right Click<\/strong>&nbsp;<span class=\"p\">on the Name Card<\/span><\/li>\n\n\n\n<li>Choose&nbsp;<strong>Add Activity<\/strong><\/li>\n<\/ol>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter size-full is-resized\"><img decoding=\"async\" src=\"https:\/\/learnsuite.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/7\/2024\/09\/image-183.png\" alt=\"\" class=\"wp-image-13597\" style=\"width:374px;height:auto\" \/><\/figure><\/div>\n\n\n<p>The second option is to utilize the Action Menu<\/p>\n\n\n\n<ol class=\"wp-block-list\" id=\"l7\">\n<li><strong>Left click the Name<\/strong>&nbsp;<span class=\"p\">you would like to create an Activity for<\/span><\/li>\n\n\n\n<li>Click&nbsp;<strong>Actions<\/strong><\/li>\n\n\n\n<li>Click&nbsp;<strong>Add Activity<\/strong><\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image size-full is-resized\"><img loading=\"lazy\" decoding=\"async\" width=\"1085\" height=\"789\" src=\"https:\/\/learning.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/6\/2024\/10\/image-37.png\" alt=\"\" class=\"wp-image-13297\" style=\"width:667px;height:auto\" srcset=\"https:\/\/learning.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/6\/2024\/10\/image-37.png 1085w, https:\/\/learning.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/6\/2024\/10\/image-37-300x218.png 300w, https:\/\/learning.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/6\/2024\/10\/image-37-1024x745.png 1024w, https:\/\/learning.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/6\/2024\/10\/image-37-768x558.png 768w, https:\/\/learning.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/6\/2024\/10\/image-37-360x262.png 360w\" sizes=\"auto, (max-width: 1085px) 100vw, 1085px\" \/><\/figure>\n\n\n\n<h3 class=\"wp-block-heading\">Adding Activity Details<\/h3>\n\n\n\n<ol class=\"wp-block-list\" id=\"l14\">\n<li>Use the Dropdown to choose the&nbsp;<strong>Activity Types&nbsp;<\/strong>(The Activities displayed here will be configured in the <a href=\"https:\/\/learning.pcrecruiter.net\/site\/docs\/pipeline\/pipeline-setup\/#activities\">Pipeline Setup<\/a> by an Admin user).<\/li>\n\n\n\n<li>Typically, an Activity is something that has already happened, meaning you do not need to put it on your schedule. However, if this is an Activity for the future you will need to choose the Date\/Time and Schedule option as you did when adding the Step.<\/li>\n\n\n\n<li>The&nbsp;<strong>Username&nbsp;<\/strong>will automatically default to your own Username. You can modify this if needed.<\/li>\n\n\n\n<li>Add&nbsp;<strong>Activity Text<\/strong> will display when viewing the Activity in the future and if this has been added to your Schedule, the Text will also display there.<\/li>\n\n\n\n<li>Choose to&nbsp;<strong>Copy&nbsp;<\/strong>the Activity to the Position Company or Contact if desired<\/li>\n\n\n\n<li>Search for another Name in the&nbsp;<strong>Share Activity&nbsp;<\/strong>field to share this Activity on another Record as well.<\/li>\n<\/ol>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter size-full is-resized\"><img decoding=\"async\" src=\"https:\/\/learnsuite.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/7\/2024\/10\/New-Pipeline-Add-acticity-Upper-Pane.png\" alt=\"\" class=\"wp-image-14436\" style=\"width:748px;height:auto\" \/><\/figure><\/div>\n\n\n<ol class=\"wp-block-list\" start=\"7\" id=\"l14\">\n<li>At this point you can click&nbsp;<strong>Save Activity&nbsp;<\/strong>and your Activity will be saved, but just like with the Step, you can also send an email. (Note: Upon saving, the Company Name, Job Title, and Position ID will be stamped to the bottom of the note)<\/li>\n\n\n\n<li>Toggle the&nbsp;<strong>Send Email&nbsp;<\/strong>option to On to enable the Send Email fields<\/li>\n\n\n\n<li>Enter your email details in the same manner as you did from the Add Step screen. If you have chosen a template that include \u201cInterview\u201d fields, it will populate with details from the Step the Candidate is currently in.<\/li>\n\n\n\n<li>Click&nbsp;<strong>Save Activity&nbsp;<\/strong>to create the Activity and Send the Email simultaneously<\/li>\n<\/ol>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter size-full is-resized\"><img decoding=\"async\" src=\"https:\/\/learnsuite.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/7\/2024\/10\/New-Pipeline-Add-activity-Lower-Pane.png\" alt=\"\" class=\"wp-image-14438\" style=\"width:631px;height:auto\" \/><\/figure><\/div>\n\n\n<p>Note: When adding an Activity from the Pipeline, the Company Name\/Job Title \u2013 Job ID will automatically be appended to it.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"oop\">Out of Process<\/h2>\n\n\n\n<p>When a Name is moved Out of Process in the Pipeline they are no longer located in your active Pipeline Steps. Note: If searching by Category, you will need to search by the shortened version of the Category (NQ = Not Qualified, TD = Turn Down, OFFER = Offer Declined)<\/span><\/li>\n\n\n\n<li><strong>View Details:<\/strong>&nbsp;<span class=\"s5\">View the Candidate Name, reason for being moved Out of Process, the Last Step they were in prior to being moved Out of Process, the Date they were moved Out of Process, and the User Name who moved them Out of Process.<\/span><\/li>\n\n\n\n<li><strong>Restore to Last Step:<\/strong>&nbsp;<span class=\"s5\">Selecting this will remove the Candidate from the Out of Process area and move them back to the Step they were in prior to moving Out of Process.<\/span><\/li>\n\n\n\n<li><strong>Rollup\/Letter:<\/strong>&nbsp;<span class=\"s5\">After selecting Records from the Out of Process screen, select Rollup or Letter to complete the corresponding action.<\/span><\/li>\n\n\n\n<li><strong>Delete:<\/strong><span class=\"s5\"> This selection will remove the Candidate from the Pipeline completely. These are typically used as submittals and allow for hiring managers to submit feedback directly from this link.<\/li>\n\n\n\n<li><strong>Add Activity:<\/strong> Allows you to add activities that are specific to that Pipeline.<\/li>\n\n\n\n<li><strong>Add Contract Placement or Permanent Placement<\/strong>: Allows for placing multiple candidates at once.<\/li>\n\n\n\n<li><strong>Add Step: <\/strong>Allows you to move a candidate to a new step in the Pipeline.<\/li>\n\n\n\n<li><strong>Reports:<\/strong> Runs the <a href=\"https:\/\/learning.pcrecruiter.net\/site\/docs\/reports\/pipeline-reports\/\">New Pipeline Report<\/a> for the specific Pipeline you are working in.<\/li>\n\n\n\n<li><strong>Score:<\/strong> Compares the scores of multiple candidates based on profile answers. (Question and answer weights must be set from this location first.)<\/li>\n\n\n\n<li><strong>Routing: <\/strong>Allows you to send up to 10 candidate resumes to a hiring authority. Once the profile is filled out by the candidate and scores have been assigned to the answers you will be able to quickly view the results for each.<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Select the candidates you wish to score then click Actions and Score.<\/li>\n<\/ol>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Select the desired profile from the dropdown on the left. The dropdown on the right should say &#8220;Configure Score Master&#8221;.<\/li>\n\n\n\n<li>Assign a numeric scores for each answer. Scores are only available for questions with predefined answers, such as a dropdown. Any free text answers will show as N\/A.
