Contact your administrator or reach out to <a href=\"https:\/\/help.pcrecruiter.com\/support\/login\" target=\"_blank\" rel=\"noreferrer noopener\">PCRecruiter support<\/a> for assistance.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Enabling Candidate Presentations<\/strong><\/h2>\n\n\n\n<p>The Candidate Presentations Security options can be accessed by a system administrator by following these steps:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Select <strong>System<\/strong> from the main toolbar<\/li>\n\n\n\n<li>Select <strong>Users<\/strong><\/li>\n\n\n\n<li>Select <strong>Manage Users<\/strong><\/li>\n\n\n\n<li>Choose the user you would like to modify presentation security for<\/li>\n\n\n\n<li>Choose the <strong>Security<\/strong> charm on the left<\/li>\n\n\n\n<li>Open the <strong>Other<\/strong> tab<\/li>\n\n\n\n<li>Locate the two Presentations Securities\n<ul class=\"wp-block-list\">\n<li>Presentations\n<ul class=\"wp-block-list\">\n<li><strong>Read Only:<\/strong> Allows users to see what presentations have been sent and view any feedback that has been submitted when viewing the corresponding records.<\/li>\n\n\n\n<li><strong>Send, Edit:<\/strong> Users with this permission are able to view presentations and feedback as listed above. This setting also allows a user to send a presentation and edit the presentation settings such as expiration date.<\/li>\n\n\n\n<li><strong>Templates, Send, Edit:<\/strong> Also considered \u2018Full Permission\u2019 for Presentations. Users with this setting will have the above permissions but can also create\/modify presentation templates. <\/li>\n<\/ul>\n<\/li>\n\n\n\n<li>Presentation Overall List\n<ul class=\"wp-block-list\">\n<li><strong>Full Permission:<\/strong> Allows users to access the list of all presentations and feedback; this is accessed via the system menu.<\/li>\n\n\n\n<li><strong>No Permission:<\/strong> Blocks users from accessing the list of all presentations and feedback. Note: This only disables accessing the information from the system menu. The user will still be able to view the filtered details on the corresponding records.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<\/li>\n\n\n\n<li>Click Save. <\/li>\n<\/ol>\n\n\n\n<h2 class=\"wp-block-heading\">Presentation Letters<\/h2>\n\n\n\n<p><br>Presentation Letters, though not mandatory, provide a convenient template for presenting candidates. Alternatively, if you prefer not to create a presentation letter, you have the flexibility to compose your presentation email on demand.<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Select <strong>System<\/strong> from the main toolbar<\/li>\n\n\n\n<li>Choose <strong>Form Letters<\/strong><\/li>\n\n\n\n<li>Choose <strong>Presentation\/Feedback Letters<\/strong><\/li>\n\n\n\n<li>Select <strong>Add Letter<\/strong><\/li>\n\n\n\n<li>Enter a <strong>Name<\/strong> for your letter (This will auto populate as the subject of your email when sending)<\/li>\n\n\n\n<li>Leave as your <strong>username<\/strong> or change to a global letter if desired<\/li>\n\n\n\n<li>Choose the <strong>Letter Type<\/strong>:\n<ul class=\"wp-block-list\">\n<li><strong>Name:<\/strong> Can be sent from a name record, name rollup list, or name search results<\/li>\n\n\n\n<li><strong>Position:<\/strong> Can be sent from a pipeline and allows you to insert fields in relation to the Position record and Company Record <\/li>\n<\/ul>\n<\/li>\n\n\n\n<li>Enter the <strong>email body<\/strong> into the text box (this can be edited prior to sending)<\/li>\n\n\n\n<li>Use <strong>Insert Fields <\/strong>option to enter the following: Recipient First or Last Name, System fields (Username, Date, Signature, etc), and any profile link.\n<ul class=\"wp-block-list\">\n<li>As stated above, if you are creating a position letter you can include position details in your form letter. <\/li>\n<\/ul>\n<\/li>\n\n\n\n<li><mark style=\"background-color: #fba050\" class=\"has-inline-color\">Use the <\/mark><strong><mark style=\"background-color: #fba050\" class=\"has-inline-color\">Presentation Link<\/mark><\/strong><mark style=\"background-color: #fba050\" class=\"has-inline-color\"> insert field to include the link to the presentation &#8211; this is mandatory as it is how the recipient will access the candidates being presented.<\/mark><\/li>\n\n\n\n<li><strong>Save<\/strong> when finished<\/li>\n<\/ol>\n\n\n<div class=\"wp-block-image is-resized\">\n<figure class=\"aligncenter size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"1344\" height=\"669\" src=\"https:\/\/learning.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/6\/2023\/11\/Candidate-form-letter-resize-70.png\" alt=\"\" class=\"wp-image-11288\" style=\"width:771px;height:auto\" srcset=\"https:\/\/learning.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/6\/2023\/11\/Candidate-form-letter-resize-70.png 1344w, https:\/\/learning.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/6\/2023\/11\/Candidate-form-letter-resize-70-300x149.png 300w, https:\/\/learning.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/6\/2023\/11\/Candidate-form-letter-resize-70-1024x510.png 1024w, https:\/\/learning.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/6\/2023\/11\/Candidate-form-letter-resize-70-768x382.png 768w, https:\/\/learning.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/6\/2023\/11\/Candidate-form-letter-resize-70-360x179.png 360w\" sizes=\"auto, (max-width: 1344px) 100vw, 1344px\" \/><\/figure><\/div>\n\n\n<h2 class=\"wp-block-heading\">Presentation Templates<\/h2>\n\n\n\n<p>To begin using Candidate Presentations, an admin user must configure at least one presentation template (We have added a few to get you started allowing you to skip this step and revisit it if needed). This template will then become available to all users who can then utilize the template to present candidates (Note that most selections can be modified upon sending the Candidate Presentation). To access your Presentation setup do the following:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Select <strong>System<\/strong> from the main toolbar<\/li>\n\n\n\n<li>Select <strong>Presentations<\/strong><\/li>\n\n\n\n<li>Choose <strong>Candidate Presentation Templates<\/strong><\/li>\n<\/ol>\n\n\n\n<h3 class=\"wp-block-heading\">Presentation Settings<\/h3>\n\n\n\n<p>The Presentation Settings control the basics of your presentation; including design, automations, and expiration.<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Select a <strong>Template<\/strong> to modify or choose <strong>New <\/strong>to create a new template<\/li>\n\n\n\n<li>If you have chosen to create a new template, enter a <strong>Template Name<\/strong><\/li>\n\n\n\n<li>Choose one of the 3 available layout options:\n<ul class=\"wp-block-list\">\n<li>Side by side with <strong>field data on the left<\/strong><\/li>\n\n\n\n<li>Side by side with <strong>field data on the right<\/strong><\/li>\n\n\n\n<li><strong>Up and down<\/strong><\/li>\n<\/ul>\n<\/li>\n\n\n\n<li>Use the theme selector to select the theme you would like to use for your template; this will automatically apply a color scheme to your presentation. (Themes can be customized using CSS. When a presentation is sent, the number of days will commence. Once the length of time expires, the presentation will no longer be accessible. If desired, an email will be triggered on \u2018X\u2019 days prior to expiration. Just be sure to enter or select the email address you would like the notification sent to in the Notifications and Pipeline Automations area.<\/li>\n<\/ol>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"422\" height=\"338\" src=\"https:\/\/learning.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/6\/2024\/10\/Presentation-Link-and-Access-1.png\" alt=\"\" class=\"wp-image-13280\" srcset=\"https:\/\/learning.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/6\/2024\/10\/Presentation-Link-and-Access-1.png 422w, https:\/\/learning.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/6\/2024\/10\/Presentation-Link-and-Access-1-300x240.png 300w, https:\/\/learning.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/6\/2024\/10\/Presentation-Link-and-Access-1-360x288.png 360w\" sizes=\"auto, (max-width: 422px) 100vw, 422px\" \/><\/figure><\/div>\n\n\n<ol class=\"wp-block-list\" start=\"6\">\n<li><strong>Notifications and Pipeline Automations<\/strong>: This&nbsp;area is used to trigger email notifications and automatically conduct pipeline movement upon a recipient opening and providing feedback for a presented candidate.<\/li>\n\n\n\n<li><strong>Input Email:<\/strong>&nbsp;There are two input email fields; these fields are used to trigger an email notification when a presentation is viewed or feedback is provided on a particular candidate. Upon these actions happening, the email is triggered according to the email address that has been entered.<\/li>\n\n\n\n<li><strong>Select Email:&nbsp;<\/strong>Choose the Sender Username, Position Username, and\/or Candidate Username to be notified when the action takes place. Note: Position Username is only available when sending from a Pipeline. And if a candidate applied via your job board there is no active username assigned unless a user manually modifies the field.<\/li>\n\n\n\n<li><strong>Pipeline Automation:<\/strong>&nbsp;These are also triggered by a presentation being opened or feedback being submitted. If you decide to utilize this feature you will need to make one of two selections: Select a&nbsp;<strong>\u2018To\u2019<\/strong>&nbsp;interview status: When a presentation is opened or feedback is submitted for a candidate the candidates is then moved \u2018to\u2019 the selected interview status. (Note: If the candidate has already been moved to the selected interview status they will not be moved to the status a second time).<\/li>\n\n\n\n<li>Select the \u2018From\u2019 and \u2018To\u2019 pipeline steps: When both a \u2018From\u2019 and \u2018To\u2019 are selected the candidate will be moved to the \u2018To\u2019 pipeline step only if they currently reside in the \u2018From\u2019 pipeline step (Ex. When sending a candidate presentation, you move all of the presented candidates to \u201cCandidate Submitted.&#8221; Once a hiring authority provides feedback, the candidate is automatically moved to \u201cFeedback\u201d. This includes field data, resumes, profiles, and attachments.<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Select your <strong>header<\/strong>: You may either drag and drop an image into your header, or click to select an image.<\/li>\n\n\n\n<li>Click the <strong>Show Toggle<\/strong> on or off to display\/hide the candidate names from the presentation, this will only show when multiple candidates are selected.<\/li>\n\n\n\n<li>Selected <strong>Fields<\/strong>: In the fields column, drag and drop Available Fields to Selected Fields. The Selected Fields will be displayed when the candidate presentation is sent.<\/li>\n\n\n\n<li><strong>Documents:<\/strong> There are numerous document types that can be included in your presentation. To add them, select<strong> \u2018Add Section\u2019<\/strong>, name the section, and then choose your document type:\n<ul class=\"wp-block-list\">\n<li><strong>Resume<\/strong>: Choose the Current Resume or Blinded Resume (Learn how to create a Blinded Resume <a href=\"https:\/\/learning.pcrecruiter.net\/site\/docs\/resumes\/blind-a-resume\/\">here<\/a>)<\/li>\n\n\n\n<li><strong>Global Attachments:<\/strong> Choose Attachment, then select the attachments you wish to include<\/li>\n\n\n\n<li><strong>Profiles:<\/strong> Choose Attachment, then select the profile you would like to include. Once you select the profile a dropdown will appear to the right. This dropdown has two options: Only if Completed and Attempt to Generate. If you choose Only if Completed, the profile will only be included for candidates who have the specified profile completed for their record.
