{"id":11924,"date":"2023-12-18T17:12:57","date_gmt":"2023-12-18T17:12:57","guid":{"rendered":"https:\/\/docs.pcrecruiter.net\/site\/?post_type=docs&#038;p=11924"},"modified":"2023-12-18T17:17:50","modified_gmt":"2023-12-18T17:17:50","password":"","slug":"managing-records","status":"publish","type":"docs","link":"https:\/\/learning.pcrecruiter.net\/site\/docs\/pcr-for-gmail\/managing-records\/","title":{"rendered":"Managing Records"},"content":{"rendered":"\n<p>Once you have entered a new Name Record or located an existing Name Record via the Gmail plugin, you can now interact with the record without leaving Gmail.<\/p>\n\n\n\n<p>Note: You will still need to access PCRecruiter through your usual methods for some advanced features.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Name Details<\/h2>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter\"><img decoding=\"async\" src=\"https:\/\/learning.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/2\/2020\/07\/Gmail-10.png\" alt=\"\" class=\"wp-image-9318\"\/><\/figure><\/div>\n\n\n<p>When viewing a Name Record in the PCR Pane you will see the fields you have populated on their record. Only the fields that are populated will display here, you will not see blank fields. <\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Detail Fields<\/h3>\n\n\n\n<p>By default the following fields will be displayed with adding and viewing name records:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>First Name<\/li><li>Last Name<\/li><li>Title<\/li><li>Company Name<\/li><li>Email<\/li><li>Home, Work and Cell Phone<\/li><li>Social Network Links<\/li><li>City<\/li><li>State<\/li><li>Postal Code<\/li><\/ul>\n\n\n\n<p>You can customize these fields via the settings area:<\/p>\n\n\n\n<ol class=\"wp-block-list\"><li>Click the <strong>three dots<\/strong> to open the PCR Add-On Menu<\/li><li>Click <strong>Settings<\/strong><\/li><li>Scroll to <strong>Field Settings<\/strong><\/li><li>Click <strong>Remove<\/strong> for any fields you wish to remove from your view (Note: You cannot remove First Name, Last Name, Email Address, Status or Company Name) <img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-9319\" src=\"https:\/\/learning.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/2\/2020\/07\/Gmail-11.png\" alt=\"\" width=\"370\" height=\"796\"><\/li><li>To add additional fields click <strong>Add <img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-9320\" src=\"https:\/\/learning.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/2\/2020\/07\/Gmail-12.png\" alt=\"\" width=\"375\" height=\"520\"><\/strong><\/li><li>Use the<strong> dropdown<\/strong> to choose the field you would like to add (You can choose from Predefined and Custom Fields)<\/li><li>Click <strong>Add Field<\/strong> (The selected field will be added to the bottom of your current layout) <img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-9321\" src=\"https:\/\/learning.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/2\/2020\/07\/Gmail-13.png\" alt=\"\" width=\"372\" height=\"241\"><\/li><li>Click <strong>Save<\/strong> &#8211; You will now see the field when adding\/editing a name or working with a record that has the field populated<\/li><\/ol>\n\n\n\n<p>Note: If you are a Google Voice user you will be able to dial out via the phone icon to the right of a phone number.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Editing a Record<\/h2>\n\n\n\n<ol class=\"wp-block-list\"><li>To edit a record, select the <strong>Edit<\/strong> icon below their details <img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-9322\" src=\"https:\/\/learning.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/2\/2020\/07\/Gmail-14.png\" alt=\"\" width=\"347\" height=\"356\"><\/li><li>Once you have completed editing, be sure to click <strong>Save<\/strong>.<\/li><\/ol>\n\n\n\n<h2 class=\"wp-block-heading\">Rollup Lists<\/h2>\n\n\n\n<p>From the PCRecruiter Pane you can add a name to a Rollup List and view any Rollup Lists that person is already on.<\/p>\n\n\n\n<ol class=\"wp-block-list\"><li>Click the <strong>Rollup icon <img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-9323\" src=\"https:\/\/learning.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/2\/2020\/07\/Gmail-15.png\" alt=\"\" width=\"359\" height=\"374\"><\/strong><\/li><li><strong>Type<\/strong> the first few letters of your Rollup List Name <img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-9324\" src=\"https:\/\/learning.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/2\/2020\/07\/Gmail-16.png\" alt=\"\" width=\"368\" height=\"426\"><\/li><li>The list will be displayed as a <strong>Search Result<\/strong><\/li><li>Select the <strong>List<\/strong><\/li><li>Click <strong>Add to Rollup <img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-9325\" src=\"https:\/\/learning.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/2\/2020\/07\/Gmail-17.png\" alt=\"\" width=\"367\" height=\"291\"><\/strong><\/li><li>You will now see the Rollup list displayed below<\/li><li>Clicking <strong>View<\/strong> will jump you to the full Rollup List in PCR. <img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-9326\" src=\"https:\/\/learning.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/2\/2020\/07\/Gmail-18.png\" alt=\"\" width=\"372\" height=\"440\"><\/li><\/ol>\n\n\n\n<h2 class=\"wp-block-heading\">Positions<\/h2>\n\n\n\n<p>You can also link Candidate\u2019s to Positions and view Positions they are currently linked to.<\/p>\n\n\n\n<ol class=\"wp-block-list\"><li>Click the <strong>Positions Icon <img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-9327\" src=\"https:\/\/learning.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/2\/2020\/07\/Gmail-19.png\" alt=\"\" width=\"371\" height=\"365\"><\/strong><\/li><li>Click<strong> Search for Position <img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-9328\" src=\"https:\/\/learning.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/2\/2020\/07\/Gmail-20.png\" alt=\"\" width=\"365\" height=\"142\"><\/strong><\/li><li>Enter your <strong>Search Criteria<\/strong><\/li><li>Click <strong>Search<\/strong>, the results will display below your search entry<\/li><li>Click <strong>LINK<\/strong> for the position you wish to link them to <img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-9329\" src=\"https:\/\/learning.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/2\/2020\/07\/Gmail-21.png\" alt=\"\" width=\"377\" height=\"509\"><\/li><li>Now, you are able to see the Name has been Linked as well as any other positions they are linked to. You can also see the Interview Type and Status they are currently in for each position.<\/li><\/ol>\n\n\n\n<h2 class=\"wp-block-heading\">Attachments<\/h2>\n\n\n\n<p>The Attachments Section allows users to Add an Attachment, Update the Resume, Create a Record, or View existing Attachments.<\/p>\n\n\n\n<ol class=\"wp-block-list\"><li>Locate the <strong>Attachments<\/strong> Section<\/li><li>Choose an Action Icon:\n<ol>\n<li><strong>Add Attachment:<\/strong> Shows a list of all attachments from the email you are viewing, choose all documents you would like to add to the records attachments area.<\/li>\n<li><strong>Update Resume:<\/strong> Shows a list of all attachments from the email you are viewing, choose the file you would like to replace the current Resume With<\/li>\n<li><strong>Create Candidate<\/strong>: Creates a brand new Name record from an attachment that has been sent (for instance if someone forwards you a resume)<\/li>\n<\/ol>\n<\/li><li>Click <strong>View PCR Attachments <\/strong>to see all of that records Attachments in PCR.<\/li><\/ol>\n\n\n\n<h2 class=\"wp-block-heading\">Notes<\/h2>\n\n\n\n<p>The Notes section will allow you to view existing Notes for the Name as well as add new Notes.<\/p>\n\n\n\n<ol class=\"wp-block-list\"><li>Locate the <strong>Notes<\/strong> Section<\/li><li>Click <strong>Add <img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-9330\" src=\"https:\/\/learning.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/2\/2020\/07\/Gmail-22.png\" alt=\"\" width=\"373\" height=\"104\"><\/strong><\/li><li><strong>Enter<\/strong> your Note<\/li><li>Click <strong>Save<\/strong><\/li><li><strong>View <\/strong>the Note in the PCR Pane <img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-9331\" src=\"https:\/\/learning.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/2\/2020\/07\/Gmail-23.png\" alt=\"\" width=\"362\" height=\"245\"><\/li><\/ol>\n\n\n\n<p>Note: The number of Notes displayed in the PCR Pane is configurable by clicking the three dots followed by Settings. Additional Notes can be viewed by clicking <strong>View More Notes&#8230;<\/strong><\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Activities<\/h2>\n\n\n\n<p>Lastly is the Activities section which will allow you to Add and View Activities<\/p>\n\n\n\n<ol class=\"wp-block-list\"><li>Locate the <strong>Activities<\/strong> Section<\/li><li>Click <strong>Add <img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-9332\" src=\"https:\/\/learning.pcrecruiter.net\/site\/wp-content\/uploads\/sites\/2\/2020\/07\/Gmail-24.png\" alt=\"\" width=\"371\" height=\"115\"><\/strong><\/li><li><strong>Enter<\/strong> your Activity and Follow Up details as if you were from the usual Add Activity Screen<\/li><li>Click <strong>Submit <\/strong>when finished<\/li><li><strong>View<\/strong> Activity history from the PCR Pane<\/li><\/ol>\n\n\n\n<p>Note: The number of Activities displayed in the PCR Pane is configurable by clicking the three dots followed by Settings.
