Ranking in Rollup Lists

PCRecruiter’s Rollup Ranking feature allows users to assign a rank to a record via a rollup list and carry that rank with them to the Legacy Pipeline if desired.. This tool is especially handy when it comes to initially reviewing candidates or conducting initial phone screen calls via a Rollup List; as it gives users the ability to easily identify a high versus low ranked candidate.

This feature is available for Name, Company and Position Rollups.

Enable Ranking in Rollups #

The first step to using the Ranking option in to add the Rank column to your desired Rollup Type:

  1. Select Rollups from the Main Toolbar
  2. Select Any Rollup list
  3. Choose Configure from the Action Toolbar
  4. In the Layout tab, the Rollup List Fields are the field columns visible in your rollup list view. The bottom of the list will have the option for “Click to Set Field”
  5. From the Click to Set Field dropdown select Rollup Rank
  6. Move this new field wherever you desire in your Rollup Layout via dragging and dropping
    1. Note: If you have not previously customized your rollup layout you will need to add any other fields you would like to view in the same fashion, as this will override the template layout you were previously using.
  7. If desired, choose to sort your rollup lists via Rollup Rank. Choosing this setting will automatically show your best records first when accessing a Rollup List.
  8. Save your changes

Using Ranking in Rollups #

Once you have added the Rollup Rank to your Rollup Layout you can begin Ranking your records. Keep in mind, you will need to refresh the Rollup List you had open to see the change.

  1. Select Rollups from the Main Toolbar
  2. Select a Rollup list
  3. As you begin working your way through your Rollup, choose the appropriate number of stars in the Rollup Rank column for each record, no need to save once this is done!
    1. Note: Once you have ranked records you may select the column header to sort by the rank.

Viewing Rollup Rank #

The Rollup Rank can be viewed; of course from the Rollup List the Rank is set for, but you may also view the Rank from within the desired record. To do this, select the record then choose Rollups from the Navigation toolbar; here you will see any rollup lists the record exists on and their current Rank on each Rollup.

Moving/Copying to Rollups #

If a record is moved or copied to another Rollup, you will have the option to carry the Rank with the record to its new location.

  1. Access a Rollup List
  2. Checkmark the Record or Records you would like to move or copy to a new Rollup
  3. From the Action Toolbar, choose Copy to Rollup or Move to Rollup
    1. Copy to Rollup: Leaves the record on the current Rollup but also adds it to the selected Rollup
    2. Move to Rollup: Removes the record from the current Rollup and adds them to the selected Rollup
  4. Use the checkbox to identify if you would like to Preserve Rank when moving or copying
    1. Preserve rank when copying records, Checked: Rank is copied to the new Rollup list
    2. Preserve rank when copying records, Unchecked: Record is added to the new Rollup with a blank Rank.
  5. Select the Rollup you would like the Record added to
  6. You will see a progress bar indicating when the Move/Copy is complete
    1. Note: If the Record already exists on the new Rollup it will not be duplicated and the Rank will not be updated.

When working in a Name Rollup and utilizing the Rank feature, users have the ability to carry the Rank with the candidate into the Legacy Pipeline.

  1. Access a Rollup List
  2. Checkmark the Name or Names you would like to link to a Position
  3. From the Action Toolbar, choose Link to Position
  4. Use the checkbox the top to identify if you would like to Preserve Rank when linking
    1. Preserve rank when copying records, Checked: Rank is copied to the Pipeline
    2. Preserve rank when copying records, Unchecked: Record is added to the Pipeline with a blank Rank.
  5. Select the Position you would like the Name added to either via Recent Positions or Searching (the position selected must be using the legacy pipeline)
  6. You will see a progress bar indicating when this is complete
    1. Note: If a name already exists in the Pipeline the Name nor the Rank will be added
